How can the Last Planner System® digital be even more efficient?

After I asked in my last article the fundamental question whether you can make the Last Planner System® Even more efficient, I now go a little more into detail.

What is the cycle of production planning in the current projects based on the traditional sticky notes?

  1. All meet in the context of a collaborative meeting for the production planning of the first week.
  2. After the meeting, the project manager logs all the sticky notes, the contents, and the sequence in an Excel spreadsheet. As a reminder, he still photographs the wall with the notes in the meeting room.
  3. The week will be processed.
  4. Necessary discussions and information with the team members will be exchanged by e-mail or telephone.
  5. At the end of the week, everyone will meet again in the meeting room.
  6. The first week will be reworked and all activities discussed.
  7. The project leader makes notes in the Excel spreadsheet or on paper and later maintains the contents in the table.
  8. Back at his workplace, he summarizes the results and creates his charts.
  9. At the end of the week, everyone will meet again in the meeting room.
  10. The project manager presents the report of the first week and takes preventive measures.

In fact, everyone is already in the planning stage of the third week. The entire cycle of production planning, including the reprocessing of the first week, took two weeks.

What is the same procedure in the Digital Last Planner System®?

  1. All meet in the context of a collaborative meeting for the production planning of the first week. Logging is not necessary because everything is stored completely digitally.
  2. The week will be processed. Most of the communication can be disallowed because it is digital, transparent and just-in-time for all to be visible and editable. The phone is only used in absolute emergency.
  3. At the end of the week, everyone will meet again in the meeting room.
  4. All are already fully informed about the first week. The project manager takes preventive measures.

The next week can be discussed efficiently. The entire cycle of the first week’s production planning took one week in the digital version.

What happens if there are one or more faults in the procedure or defects in the first week?

It doesn’t matter whether you work with sticky notes or digital. If your team members do not participate actively, openly and transparently, the elimination of faults and shortcomings will always be a big challenge. But if everyone participates, you can get a result much quicker with the digital version. Each commitment is part of a process chain, which is summarized in a milestone. As part of a conference call, you can immediately discuss the situation with all parties involved and make changes in the process chain. Everyone can participate live in the graphic collaboration. If all team members agree to the possible changes to their commitment, the problem is resolved strategically.

Most of my readers will know how to work with the Last Planner System®. That’s why I don’t go for it.

The digital way of working involves several connected graphical user interfaces. Everyone can see with just a few clicks what the status of the project is. The milestone is not just a sticky note on the wall, but it summarizes the entire chain of commitments that are present in this planning section. In an emergency, complete task chains can be moved.

  1. All team members meet for a real or digital meeting. The chain of commitments is graphically developed and placed over the milestone in the calendar.
  2. Preview planning and Make Ready is performed.
  3. Everything is prepared and the commitments for the next week are agreed in the production planning. This can happen in real or digital.
  4. The production is visible for every just-in-time.
  5. The results will be reviewed.
  6. If a rework is required, a new commitment will be immediately worked out in the current chain of commitments under the milestone. All of them immediately see whether the appointments can still be held, whether the commitments must be renegotiated or whether the date of the milestone can be held. This can also be done digitally together.
  7. From the outset, quality management can accompany the entire project digitally. If there is a document case, the digital task can be copied and annotated immediately to the quality management digital. Improvements can also be made in the current project with quality monitoring.
  8. The complete chain of tasks of a milestone is processed and at the same time completely documented including quality and defect management.

Conclusion: The Digital Last Planner System® transfers the methodology and advantages of the Last Planner System® into the digital world and makes it even leaner than it already is. Your project managers are clearly relieved, and all team members save time and additional travel costs in the long term.
